GAME CHANGE SUBMISSIONS

This document is to provide RIYLL program directors a method to request make changes to games for their program.  This includes moving to a new time or field on that same date or events such as school trips, vacations, First Communion, band concerts, 8th grade trips etc and you need to play another day. Any reason you might not have enough players to field a team. Coaches must tell their directors about the games they want to move FIRST. The director or their designee will then enter the request here. This is NOT for league wide weather cancelations.

STEP ONE: CONTACT OPPOSING TEAM

Contact the opposing coach and explain your conflict. Perhaps you only need to move to an earlier time/ later time? Maybe there is a field issue and you simply want to move the game to their field. Or you don't have enough players and need to play on a different date. You may pick one of the TWO PRE-SCHEDULED MAKE UP DATES through this system or ask to be contacted to schedule a different date if those three do not work. The 3 dates are 5/16, 6/6 and 6/13.

 

STEP TWO: CHECK MASTER SCHEDULE

CHECK THE MASTER SCHEDULE TO SEE HOW YOUR REQUEST MIGHT IMPACT OTHER GAMES. Use the following link now to take a minute and look at: https://leagueathletics.com/MasterGameSchedule.asp?n=120028&org=riyll.org  When you move this game, does it create a referee / single game issue? Be aware of how this impacts other teams. Your request might make other games have to move up in time or possibly pay higher referee fees to cover a single game. The schedule also indicates games that are LOCKED or teams that are BLOCKED. Those might impact the ability to move the game.

 

STEP THREE: ENTER REQUEST IN GOOGLEDOC

STEP FOUR: CHECK STATUS OF GAME CHANGE REQUEST

  • Requests are handed in order of GAME DATE. Games coming up soon are worked on first.
  • If the form indicates your change request was approved your schedule will be updated. 
  • If your request cannot be accommodated, coach and director of requesting program will be contacted.
  • If the game date is close, alerts will go out to all parents, players and coaches.
  • If you are requesting a change several weeks out ( for example Memorial Day weekend change requested on April 11th), the system will NOT kick out an alert as parents get confused by the alerts and think it refers to the next upcoming game.
  • REQUEST STATUS WILL REFLECT THE FOLLOWING HIGHLIGHTING TO SHARE THE PROGRESS OF YOUR REQUEST: 
    GREEN = APPROVED
    YELLOW= IN PROCESS OR BEING RESEARCHED
    RED= CHANGE NOT ACCOMMODATED

 

This is not a guarantee your request will be honored.  These requests will be researched and if the change does not adversely impact the field assignments, flow of games, blocking of teams or referee assignments, we will make the change.

If the request cannot be accommodated, you will be contacted.

RIYLL Board will be the arbiter of issues when two programs cannot agree on rescheduling a game and decide who will forfeit the game if necessary.

NO GAME CHANGES WILL BE HONORED AFTER 5PM ON TUESDAY FOR THE FOLLOWING WEEKEND. REQUESTING TEAM WILL FORFEIT THE GAME FOR ANY GAME CHANGE REQUEST MADE AFTER 5PM TUESDAY.
